Updating School Year in Data Export Manager

In PowerSchool, the classes and enrollment files are set to send only the current school year information.

The school year sent is manually selected, so schools will need to update the templates and re-send the exports to contain the upcoming school year.

Navigate to Data Export Manager

Go to System > Page and Data Management > Data Export/Data Export Manager.


View Scheduled System Templates

Go to the Scheduled System Templates tab to make changes to both the classes and enrollment exports.


Edit the Classes Template

Click on the name of the classes template to open for editing.

The first screen will show you the fields being used in the export. No changes need to be made here.

Click Next.


Change the School Year for the Classes Template

After clicking Next, you should be able to change the school year from 2026 to 2027 on the next screen. (For some schools, it may just be switching to 2026.)

Click Next.

On the next screen, choose Save Template.


Edit the Enrollments Template

Similarly to the classes template, you will make changes to the enrollments template.

Click on the name of the enrollments template to open for editing.

The first screen will show you the fields being used in the export. No changes need to be made here.

Click Next.


Change the School Year for the Enrollments Template

After clicking Next, you should be able to change the school year from 2026 to 2027 on the next screen. (For some schools, it may just be switching to 2026.)

Click Next.

On the next screen, choose Save Template.


Run the Exports

Run the exports to verify the set up is successful and that the data is sending the expected school year.

There is a play button under the Scheduled System Templates tab.


Verify the Data

An Apptegy member will verify that the recently sent data is sending the updated data on their servers.

For the classes file, the term should start with 35. For example, 3500, 3501, etc.

For the enrollments file, they should see class IDs that match what is in the classes file.
