Updating School Year - Teacher Ease

TeacherEase has a manual dropdown on the Scheduled Exports screen that determines which school year’s data are currently being exports. Apptegy will continue to receive data from the previous school year until the school changes it.


Navigate to the Scheduled Exports

Go to (School District) Admin Main > Import/Export > Scheduled Exports.

Next, find the export that you’d like to update to the current year and hit the edit button. (Ex: students)


Update the Academic Year

Update the Academic Year to the current year by clicking into the dropdown for "Academic Year".

If the current year isn’t listed in the dropdown, it’s likely that the school has built their export as a data query instead of a Custom Report, OR that they haven’t created the new school year within Teacher Ease.

If you need to create the upcoming school year because it is not listed in the dropdown, navigate to those steps next. Otherwise, you are done if you've selected the upcoming school year and saved the export settings.


Exports Failing?

NOTE: TeacherEase often replaces the previously saved SFTP credentials with your own log in credentials, this will cause your export to fail. Pay careful attention to this change, you will receive an email stating your export has failed if this occurs and you don't notice it before saving.

Reach out to Apptegy to get a new copy of your credentials if this occurs


Creating the Upcoming School Year

At the top, click on Yearly Setup > Academic Years (from the dropdown after clicking).

Click on Create Academic Year at the bottom and create one for the upcoming school year.

On the next screen, click on the new year created from the Academic Year dropdown. Make sure to select all schools (if there are multiple buildings).

For the options under Timeless, Yearly, and Yearly Course Entities, select District Managed or School Managed, depending on which is applicable for the school. When done, click on Create at the bottom left corner.

If updating the school year on the export doesn’t update the data, check under Query Builder > Filters, to make sure that there are no additional filters for Academic Year.
