eSchool/Cognos - Updating the School Year

In eSchool/Cognos, the classes and enrollment files are set to send only the current school year information. The school year sent is manually selected, so schools will need to update the jobs for these files to send the upcoming school year in order to send accurate classes and enrollment information.


Find the Job for Rooms Files

Go to Team Content > Student Management System > District Shared > {School Name} > Apptegy (this can be named differently than "Apptegy" for some schools)


Edit the Job for Rooms Files

Edit the job by clicking the three dots in the upper right corner.

In the job, you’ll see all the reports for Rooms.


Edit the Classes Job

To edit the job for classes, click the pencil icon. Once in edit mode, click into the Prompt tab.


Set the Prompt Values for Classes

Once you are in the Prompt tab, click on Set values.

Set the school year (2024 OR 2025) and mark the periods to be sent in the classes file.

Then click Finish.

The next screen will verify your selections. Lastly, click on Close at the bottom right of the page.


Edit the Enrollments Job

Similarly, you will follow the same steps for the enrollments file.

To edit the job for enrollments, click the pencil icon.

Once in edit mode, click into the Prompt tab.


Set the Prompt Values for Enrollments

Once you are in the Prompt tab, click on Set values. Mark the periods to be sent in the enrollments file.

NOTE: There will not be a setting here for setting the school year.

Then click Finish at the bottom left of the page.


Save the Job

Save the job using the disk/save icon in the upper left of the screen.

Then, click the Run Now button on the right side of the page to manually send the files to Apptegy's servers.

Apptegy will verify the exports arrived and are receiving updated data to the server. (For the classes file for example, Apptegy should see Term_start and Term_end dates that are for the upcoming school year. In the enrollment file, they will see class IDs that match what is in the classes file.)
