Alerts Integration - Skyward SMS

Navigate to Skybuild

  1. Confirm you are logged in to the district entity

  2. Click on Administration in the bar at the top

  3. Under the Skybuild heading, click Exports

  4. On the next screen, choose Export File Builder - EF


Creating the Extract

  1. From the Export File Builder page, click the Add button

  2. In the Export Interface Maintenance dialog box, make the following changes:

  • Interface Name: Apptegy

  • Interface Description: Apptegy Exports

  • Product Type: Other

    • "Allow Other Users to Access the Export Interface"

  • Export Location: choose "Save Exported Files in Database"

    • "FTP Files"

  • Protocol: SFTP (with SSH)

  • Host: data-in.apptegy.net

  • Port: 22

  • Path: (not required)

  • Username: (from 1Password)

  • Password: (from 1Password)

    • Export with UTF-8 encoding

Click Save


Creating the Export Files

Click the down arrow next to the extract you just created to expand the extract's options

Next to "Export File(s)", choose "Add Export File"


Student Export

The settings below should be entered in the Export File Maintenance window:

Export File Details:

  • Data Type: Student

  • File Short Description: Student

  • File Long Description: Students and Guardians

  • File Name: Student.csv

  • File Type: Delimited

    • Delimiter: Comma

  • Text Qualifier: "

    • Output Field Headers in Line 1"

Export File Ranges:

Ensure that "Active Students" is selected

Ensure that "Include all Calendars" and "Include All Schools" are selected (unless there's a reason some should not be)

Click Save

Adding Data Fields

  1. Click the down arrow next "Export File(s)"

  2. Click the down arrow next to the Export File you just created (Students)

  3. By "Main Export Files" click "Edit Selected Fields"

In the next dialog box, choose the fields you wish to add to the file by double-clicking them. Clicking a darkened option will open a field area with more field options.

Staff Export

Next to "Export File(s)", choose "Add Export File"

  • File Long Description: Staff Contacts

  • File Name: Staff.csv

  • File Type: Delimited

    • Delimiter: Comma

  • Text Qualifier: "

    • "Output Field Headers in Line 1"

Export File Ranges:

Ensure that "Active Staff" is selected

Click Save

Adding Data Fields

  2. Click the down arrow next to the Export File you just created (Staff)

Scroll to the bottom of this window.

  • Choose "Today" for the Absence Ranges

  • Click "Absence Types"

In the next window, you should be able to add the absence types you would like included in the export. For each absence type, click on the absence type and click "Add." Finally, click "Select" to return to the "Export File Maintenance" dialog box to save.

If you want, you can add attendance-related fields to this file as well, such as

  • Date

  • Periods

  • Typ 00-?? (for period-specific codes)

After all Needed data fields have been added, click "Save"


Export

Click "Export" in the top right of the "Export File Builder" dialog box to export the data.

Close the Export File Manager Dialog box

Scheduling the Exports

  1. Click "My Print Queue" in the top-right corner

  2. You should see a task record for each time a file was exported. Click one of your Apptegy exports and click "Tasks"

  3. Click "Schedule This"

  4. Set the time, days and months you would like the export to fire and click "Save"

    • For the student/staff exports, this should be sometime overnight

    • For the attendance export, this would be shortly before you would expect to send an attendance call
